J-Pool is a UK-first community mobility coordination platform, headquartered in the United Kingdom and currently piloting in Aberdeen, Scotland. We help trusted communities, organisations, Hosts and Pals coordinate shared journeys, known as Pools, in a safer, more structured and more transparent way.
We collect personal data needed to create accounts, verify users, support community access, coordinate Pools, process payments, support Wallet features, provide safety tools, send service notifications, respond to support requests, improve the Platform and comply with legal obligations.
We do not sell your personal data. We only share personal data where necessary to operate J-Pool, support Pools, manage community access, process payments, provide safety tools, work with trusted service providers, comply with law, or protect users and communities.
J-Pool is a community mobility coordination platform. We do not operate transport services, employ drivers, own vehicles for ordinary community Pools, or act as a taxi, private hire, bus, coach or transport operator.
You have rights over your personal data, including the right to access, correct, delete, restrict or object to certain processing, withdraw consent where applicable, request portability where available, and complain to a data protection authority.

Who We Are and Scope of This Policy
This Privacy Policy explains how J-Pool collects, uses, stores, shares and protects personal data when you use the J-Pool website, mobile application, community onboarding forms, admin dashboards, waitlist pages, support channels, payment features, Wallet features, safety tools, analytics and related services.
In this Privacy Policy, “J-Pool”, “we”, “us” or “our” means the J-Pool platform and related services operated in the United Kingdom by EYKEGAI UK LTD.
J-Pool is a product of EYKEGAI UK LTD, registered in Scotland under company number SC894282. J-Pool is UK-first, headquartered in the United Kingdom and currently piloting in Aberdeen, Scotland.
J-Pool may expand into other regions in the future. Where J-Pool formally launches outside the United Kingdom, additional or separate local privacy notices, product terms, operating rules, regulatory requirements or data protection arrangements may apply.
For UK data protection purposes, EYKEGAI UK LTD will usually act as the data controller for personal data collected directly through J-Pool. Where we process personal data on behalf of a Community Partner, organisation, business customer or pilot partner, we may act as a data processor, and a separate data processing agreement or commercial agreement may apply.
Key J-Pool Terms
A Pool means a shared journey coordinated through J-Pool. A Host means a person who creates, publishes, offers or coordinates a Pool. A Pal means a person who requests to join, books, joins or participates in a Pool.
A Community means a trusted group using J-Pool, such as a workplace, university, church, faith-based group, association, residential community, diaspora community, neighbourhood, shift-based group, local organisation or other structured or unstructured community.
A Community Admin means an approved person or organisation representative who helps manage onboarding, verification, membership, community access, reporting or safety within a Community.
The Platform means the J-Pool mobile app, website, dashboards, admin tools, community onboarding forms, support channels, payment features, Wallet features, safety tools, analytics and related services.
Where older app screens, test builds or support messages use words such as “trip”, “ride”, “driver” or “rider”, those words should be understood in line with J-Pool’s community Pool model. For example, “trip” means “Pool”, “Pool Creator” means “Host”, and “Pool Member” means “Pal”.
Personal Data We Collect
We collect personal data that is necessary to operate, protect, support and improve J-Pool.
This may include account and profile information, such as your name, email address, phone number, profile photo, password or authentication details, account preferences, community affiliation, user role, verification status, ratings, feedback and trust indicators.
We may collect community and onboarding information, such as your community name, invitation code, branch or location, membership confirmation, organisation details, workplace, student status, residential connection, faith group or association details where relevant, Community Admin notes, approval status and information submitted through community signup or onboarding forms.
Where verification is required, we may collect identity, Host, vehicle and eligibility information, such as identity document details, selfie or profile image for identity matching, date of birth or age confirmation, driver’s licence details where a Host is driving, vehicle make, model, colour, registration number, licence plate, insurance information where required, MOT or roadworthiness information where relevant, and verification history.
When you create, request, join or complete a Pool, we may collect Pool and journey information, such as pickup and drop-off locations, meeting points, destination or general journey area, Pool date and time, seat availability, booking status, journey amount, Pool history, cancellations, completion status, ratings, reviews, reports and feedback.
We may collect location-related information, including approximate location, pickup and drop-off coordinates, route-related information, real-time location during an active Pool where enabled, and location data needed for safety, emergency response, Pool coordination or completion.
Where payments, Wallets, refunds, credits or Host withdrawals are enabled, we may collect payment and transaction information, such as payment status, transaction reference, booking history, journey amount, refund status, Wallet balance activity, voucher or credit activity, payout status, withdrawal status and limited payment details received from payment providers. We do not intentionally store full payment card details on our own systems.
We may collect communication and support information, including in-app messages, support requests, emails, contact form submissions, safety reports, dispute information, complaints, resolution notes, feedback, survey responses, screenshots and attachments you provide.
We may collect device, technical and usage information, such as IP address, device type, operating system, browser type, app version, device identifiers, login information, usage activity, search queries, feature interactions, crash logs, performance data, diagnostic data, security logs and analytics events.
Where J-Pool provides carbon, sustainability, net-zero or mobility insight features, we may process mobility insight data, such as journey distance, vehicle type, shared journey activity, journey frequency, estimated emissions avoided, participation data and community-level mobility patterns. Where possible, these insights will be aggregated or anonymised before being used in reports or dashboards.
How We Collect Personal Data
We collect personal data directly from you when you create an account, join the waitlist, complete a form, enter an invitation code, join a community pilot, request to become a Host, create or join a Pool, upload verification information, enable location permissions, make or receive a payment, fund or use a Wallet, request a refund, request a Host withdrawal, contact support, submit feedback, report a concern, use safety tools, respond to surveys, or interact with J-Pool emails, push notifications, SMS messages or in-app messages.
We may also receive personal data from Community Partners, Community Admins, pilot partners, payment providers, verification providers, mapping providers, analytics tools, hosting providers, support platforms, communication providers, app stores and other service providers used to operate J-Pool.
For example, if you sign in using Google or another authentication provider, we may receive your name, email address, profile image or authentication identifier depending on your settings with that provider.
Why We Use Personal Data and Our Lawful Bases
We use personal data to provide and operate J-Pool. This includes creating and managing accounts, onboarding users into Communities, verifying identity and community access, verifying Hosts where required, enabling users to create, search for, request, join, manage and complete Pools, showing relevant Pools within a Community or location area, processing bookings, payments, Wallet activity, refunds, credits and Host withdrawals, enabling communication between Hosts, Pals, Community Admins and support, and sending service notifications. Our lawful basis is usually contract, because this processing is needed to provide the J-Pool service.
We use personal data to support safety, trust and verification. This includes confirming community membership, preventing fraud and impersonation, investigating incidents and disputes, supporting emergency or SOS features, managing ratings and reports, protecting users and Communities, and enforcing our Terms and Conditions. Our lawful basis may be contract, legitimate interests, legal obligation or, in urgent safety situations, vital interests.
We use personal data to provide customer support, respond to enquiries, resolve technical issues, investigate payment, Wallet, Pool or account problems, handle complaints and safety reports, and communicate support outcomes. Our lawful basis may be contract or legitimate interests.
We use personal data to improve J-Pool, including fixing bugs, improving app and website performance, testing features, developing tools, improving search and matching, improving onboarding and verification, improving safety processes, and analysing usage trends. Our lawful basis may be legitimate interests or consent where required.
We use personal data to communicate with you about account activity, Pool confirmations, booking updates, Host or Pal requests, payment confirmations, Wallet updates, withdrawal updates, refund updates, safety alerts, community updates, service announcements, policy updates and support responses. Our lawful basis may be contract, legitimate interests or legal obligation, depending on the message.
We may send marketing messages only where permitted by law. Where consent is required, we will rely on consent, and you can withdraw consent or opt out of marketing at any time.
We use personal data to meet legal and compliance requirements, keep financial and transaction records, respond to lawful requests, enforce our Terms and Conditions, protect our legal rights, and support regulatory, tax, accounting, audit, safety and fraud prevention obligations. Our lawful basis is usually legal obligation or legitimate interests.
Location, Verification, Safety and Sensitive Information
Location data is used only where needed for J-Pool functionality, safety or Platform integrity. We may use it to show relevant Pools, support pickup and drop-off coordination, provide route information, help confirm Pool start or completion, support active Pool tracking where enabled, support emergency alerts, and reduce misuse or false completion reports.
During an active Pool, the app may collect location data in the background to support route tracking, safety features and Pool coordination, even when the app is not open. Background location should only be used where necessary for active Pool functionality, safety, emergency response or related Platform features.
You can manage location permissions through your device settings. If you disable location access, some features may not work properly, including nearby Pool search, real-time coordination, safety tracking, emergency location support and route-based features.
J-Pool may use identity checks, community validation, vehicle checks, payment checks, emergency contact details and safety tools to protect users and Communities. Where automated tools assist verification, fraud prevention, safety checks or account review, human review may be used where appropriate, especially where a decision may affect account access, verification status, payment access or participation in a Community.
J-Pool does not intentionally request special category or sensitive personal data unless it is necessary for a specific feature, safety matter, accessibility request, community process, legal requirement or support issue. Because J-Pool works with trusted communities, some information may indirectly reveal sensitive details, such as association with a faith group, diaspora community, cultural group, accessibility need or safeguarding concern. Where special category data is processed, we will only process it where we have a lawful basis and an appropriate condition under applicable data protection law.
Payments, Wallets and Transactions
Where payments are available through J-Pool, payments are processed by third-party payment providers or payment gateways. These may include providers such as Stripe, PayPal or other approved payment processors.
J-Pool may receive transaction information such as payment status, transaction reference, Pool amount, refund status, Wallet activity, voucher or credit use, payout status and Host withdrawal information. Full card or bank payment details are handled by the relevant payment provider and are not intentionally stored by J-Pool on its own systems.
Where Wallet features are enabled, users may be able to fund their Wallet through the app and use their Wallet balance to pay for eligible journeys, credits, community fees, subscriptions or other approved Platform activity. Hosts may receive earnings, reimbursements or approved cost contributions into their J-Pool Wallet or earnings balance and may request withdrawals where enabled.
We may process payment and Wallet data to complete transactions, prevent fraud, manage refunds, support Host withdrawals, resolve disputes, comply with tax and accounting obligations, respond to chargebacks, meet payment provider requirements and enforce our Terms and Conditions.
Payment providers may process your data under their own privacy policies and security standards.
Sharing, Community Reporting and Third-Party Services
We do not sell your personal data.
We share personal data only where necessary for the purposes described in this Privacy Policy.
When you create, request, join or participate in a Pool, limited information may be shared with other Pool participants to make coordination possible. A Pal may see information such as a Host’s name, profile photo, rating or trust indicators, vehicle information where relevant, Pool time, meeting point and journey information. A Host may see information such as a Pal’s name, profile photo, rating or trust indicators, pickup or meeting point information, booking or request status, and communication details where needed.
Where you join J-Pool through a Community, limited information may be shared with authorised Community Admins or Community Partners to support onboarding, verification, Community management, safety, dispute resolution, pilot management and reporting. This may include name, contact details, community membership status, verification status, Pool participation information relevant to that Community, safety reports or incident information where necessary, and emergency escalation information where applicable.
We may share personal data with trusted service providers that help us operate J-Pool, including cloud hosting providers, app infrastructure providers, payment processors, Wallet or payout providers, mapping and navigation services, identity verification providers, vehicle information providers, analytics providers, customer support tools, email, SMS and push notification services, security and fraud prevention tools, crash reporting tools and app stores.
Where necessary for safety or emergencies, we may share relevant information with emergency contacts, Community Admins, J-Pool support, police, ambulance, fire services, safeguarding bodies, regulators or other authorities. This may include your name, phone number, live or last-known location, Pool details, vehicle details, emergency contact details and incident information.
We may disclose information where required or permitted by law, including to comply with court orders, respond to lawful government or regulatory requests, enforce our Terms and Conditions, protect the rights or safety of J-Pool, users, Communities or others, and investigate fraud, abuse, security threats or prohibited activity.
J-Pool may provide Community Partners, Community Admins, organisations, pilot partners or authorised stakeholders with dashboards, reports, usage summaries, safety summaries, adoption insights, operational data, mobility analytics, carbon estimates, sustainability insights and product feedback summaries. Where possible, reporting will use aggregated or anonymised data. Identifiable personal data will only be included where necessary, lawful, proportionate and consistent with this Privacy Policy, our Terms and Conditions, community agreements, pilot agreements, safety requirements or legal obligations.
If J-Pool or EYKEGAI UK LTD is involved in a merger, acquisition, investment, restructuring, sale of assets or similar transaction, personal data may be transferred as part of that process, subject to appropriate safeguards.
Cookies, Analytics and Communications
Our website and app may use cookies, device identifiers, analytics tools, crash reporting tools, logs, pixels, SDKs and similar technologies to keep users signed in, remember preferences, improve functionality, understand Platform usage, monitor performance, detect errors and crashes, improve security, support fraud prevention and support marketing where permitted.
Strictly necessary cookies and similar technologies may be used where required to operate the website or app, provide security, enable forms, maintain sessions or deliver core Platform functionality.
Where legally required, we will ask for your consent before using non-essential cookies or similar tracking technologies, including analytics, marketing, advertising, personalisation or tracking tools. We do not rely on “continued use” of the website as consent for non-essential cookies.
We may send push notifications, emails, SMS messages, in-app messages or other service communications for Pool confirmations, Pool updates, Pal requests, Host updates, arrival or meeting point updates, payment confirmations, Wallet updates, withdrawal updates, refund updates, safety alerts, verification updates, support responses, community updates, policy updates and important service announcements.
You can manage push notifications through your app or device settings. If you disable push notifications, you may still receive important service messages by email, SMS, in-app message or another available channel where necessary to operate the Platform, maintain security, provide support, manage payments, handle safety matters or comply with legal obligations.
Marketing messages, where used, will only be sent where permitted by law. You can opt out of marketing communications where applicable.
Retention, Security and International Transfers
We keep personal data only for as long as reasonably necessary for the purposes described in this Privacy Policy, including Platform functionality, safety, verification, legal compliance, accounting, fraud prevention, dispute resolution, service improvement and support.
Retention periods may vary depending on the type of data, the purpose for which it was collected, whether your account is active, whether you are a Host, Pal, Community Admin or pilot participant, legal and accounting requirements, safety concerns, payment or refund issues, disputes, fraud prevention needs, and whether data is held in backups, logs, analytics systems or archived records.
Account information is generally kept while your account is active and for a reasonable period after closure where needed for safety, legal, audit, backup, dispute or fraud prevention purposes. Pool history and transaction records may be retained for legal, tax, accounting, safety, payment and dispute purposes. Verification records may be retained for as long as necessary to maintain trust, prevent fraud, meet legal obligations and manage safety risks. Location data from active Pools is retained only for as long as reasonably necessary for coordination, safety, dispute resolution, legal and operational purposes. Support messages and complaints may be retained for a reasonable period to help resolve issues and improve service.
Where possible, we may anonymise or aggregate data so it no longer identifies you.
We use appropriate technical and organisational measures to protect your information. These measures may include secure cloud infrastructure, encryption where appropriate, access controls, authentication safeguards, monitoring and logging, data minimisation, internal access restrictions, security updates, backup processes, and staff or admin access controls.
No online platform, app, website, database or transmission method is completely secure. We cannot guarantee absolute security, but we take reasonable steps to protect your data. If we become aware of a personal data breach that requires notification, we will take appropriate steps in accordance with applicable law.
J-Pool is operated from the United Kingdom, but some service providers, infrastructure providers, support tools, technical systems or affiliated support arrangements may be located outside the United Kingdom. Where UK data protection law applies and personal data is transferred outside the UK, we will take steps designed to ensure the transfer is lawful and protected. This may include adequacy regulations, standard contractual clauses, international data transfer agreements, transfer risk assessments, data processing agreements or other legally recognised safeguards.
Your Rights, Choices and Complaints
Depending on your location and the applicable law, you may have rights over your personal data. You can update some account information through the app or website. You may request account deletion through the app, where available, or by contacting J-Pool support.

Children, Third-Party Links, Changes and Contact
J-Pool is not intended for users under 18 years old. We do not knowingly allow children under 18 to create J-Pool accounts or use the Platform. If we become aware that a child has provided personal data without appropriate authorisation, we will take steps to delete or restrict that data where required.
The J-Pool app, website, emails or digital content may contain links to third-party websites, tools, platforms or services. These may include payment providers, maps, identity verification tools, social sign-in providers, app stores, Community Partner websites, embedded content or support tools. This Privacy Policy does not apply to third-party websites or services that are not controlled by J-Pool. Third-party services may collect personal data, use cookies, track interactions and apply their own privacy policies and terms.
