Community Partnership Terms

These Community Partnership Terms explain how J-Pool works with communities, organisations, pilot partners and approved representatives who want to introduce J-Pool within a trusted community setting.
J-Pool is a UK-first community mobility coordination platform, headquartered in the United Kingdom and currently piloting in Aberdeen, Scotland. J-Pool helps trusted communities, organisations, Hosts and Pals coordinate shared journeys, known as Pools, in a safer, more structured and more transparent way.
These Terms apply when a community, organisation, property manager, workplace, faith group, association, local group or other approved representative submits a request, joins a pilot, starts onboarding, or otherwise works with J-Pool as a Community Partner.
These Terms should be read together with the J-Pool Terms and Conditions, Privacy Policy, Participant Agreement, Safety Policy, Community Guidelines and any onboarding, pilot or community-specific terms that apply.
Partnership Purpose
The purpose of a J-Pool community partnership is to support more structured, trusted and coordinated shared movement within a defined community.
Through the partnership, J-Pool may help the Community Partner introduce shared journey coordination, onboard eligible participants, support safer community-led mobility, improve visibility of movement patterns, provide community-level insights where available, and help participants coordinate Pools through the Platform.
J-Pool is currently in pilot stage. This means some features, dashboards, reporting tools, verification processes, payment tools, Wallet features, support levels, community insights and sustainability features may be tested, improved, limited, adjusted or introduced gradually.
Nature of the Platform
J-Pool provides technology for community journey coordination. J-Pool does not provide transport services directly and does not act as a taxi company, private hire operator, bus operator, coach operator, public transport provider or transport carrier.
J-Pool does not own or operate vehicles for ordinary community Pools and does not employ Hosts or Pals. Pools are coordinated between participants within trusted communities.
J-Pool is designed to support lawful shared mobility, community coordination and permitted cost contributions. It must not be used for unlawful commercial passenger transport, taxi-style activity, street-hailing, unlicensed private hire work or profit-making passenger transport unless J-Pool has expressly approved a lawful licensed arrangement in writing.
Community Partner Eligibility
A Community Partner must be authorised to represent the community, organisation, group, location or network being onboarded.
The Community Partner must provide accurate information about the community, including relevant contact details, community type, location, size, operating structure, access requirements, internal rules and any information reasonably needed to assess suitability for onboarding or pilot participation.
J-Pool may accept, decline, pause or limit a partnership request depending on pilot capacity, location, community readiness, safety considerations, operational fit, product stage, legal requirements or Platform availability.
Community Partner Responsibilities
The Community Partner agrees to support responsible onboarding and use of J-Pool within its community.
This may include helping J-Pool understand the community structure, identifying an appropriate point of contact, sharing approved onboarding links or materials, communicating relevant community rules, encouraging responsible participation, supporting awareness within the community and notifying J-Pool of any misuse, safety concern or operational issue.
The Community Partner must not make misleading claims about J-Pool, present J-Pool as a transport operator, promise guaranteed journey availability, guarantee participant behaviour, or suggest that J-Pool replaces the need for participant responsibility, insurance, roadworthiness, lawful conduct or safety awareness.
Where the Community Partner manages access to a community, branch, building, workplace, membership group or internal network, the Community Partner remains responsible for its own internal access rules, policies, permissions, safeguarding procedures, staff or member communications and organisational decision-making. However, any such rules, processes or decisions must be consistent with the J-Pool Terms and Conditions, Privacy Policy, Participant Agreement, applicable safety requirements and applicable data protection laws.
A Community Partner must not require J-Pool to share, use, retain or disclose participant information in a way that is inconsistent with J-Pool’s Privacy Policy, applicable law, or the permissions and purposes under which the information was collected.
Where there is a conflict between a Community Partner’s internal rules and J-Pool’s Platform terms, safety requirements or privacy obligations, J-Pool’s requirements will apply to the use of the Platform, unless otherwise agreed in writing and permitted by law.
J-Pool Responsibilities
J-Pool will use reasonable skill, care and diligence to support the partnership in line with the selected onboarding setup, pilot stage, available Platform features and any written agreement between the parties.
J-Pool may provide access to the Platform, community onboarding support, participant coordination tools, verification workflows where available, safety and reporting tools, support channels, product updates, community-level visibility and relevant pilot insights.
J-Pool may adjust features, dashboards, onboarding flows, reporting tools, support processes, eligibility checks, verification options or operational settings during the pilot period to improve the Platform, manage safety, comply with law, respond to feedback or support product development.
Onboarding Tiers and Pilot Benefits
During onboarding, a Community Partner may be offered or may select a community tier, setup or pilot configuration. The selected tier or setup may affect the features, support, reporting, dashboards, insights, verification options, launch materials, admin access, communication support or other benefits available to that Community Partner.
Any benefits shown during onboarding are subject to pilot availability, community suitability, technical readiness, location, product stage, participant adoption, operational capacity and J-Pool approval.
J-Pool may update, improve, rename, limit or withdraw pilot benefits as the Platform develops. Any additional commitments, service levels, implementation support or community-specific arrangements must be confirmed separately in writing and will not be implied from these Terms.
Community Access and Participant Use
Community Partners may help invite, inform or onboard participants, but each participant remains responsible for their own account, conduct, safety decisions, journey participation, payments, vehicle compliance, insurance and legal obligations.
Participants must agree to the applicable J-Pool Participant Agreement, Terms and Conditions, Privacy Policy and community rules before using the Platform.
J-Pool may restrict, suspend or remove participants where there are safety concerns, misuse, false information, failed verification, payment issues, breach of J-Pool terms, breach of community rules or risk to the Platform, participants or wider community trust.
Safety, Conduct and Reporting
J-Pool may provide safety features such as identity or community verification, reporting tools, ratings, support escalation, emergency contact tools, SOS features, active Pool information and Community Admin visibility where available.
These tools are designed to support safer coordination, but they do not remove all risk. J-Pool is not a replacement for emergency services, safeguarding bodies, police, ambulance, fire service, roadside assistance or any Community Partner’s own safety procedures.
The Community Partner should notify J-Pool promptly of serious safety concerns, misuse, harassment, discrimination, fraud, repeated no-shows, community access concerns or any issue that may affect trust, safety or responsible use of the Platform.
Community Reporting and Insights
Where available, J-Pool may provide Community Partners or authorised Community Admins with dashboards, reports, usage summaries, onboarding updates, adoption insights, operational data, safety summaries, mobility analytics, carbon estimates, sustainability insights or product feedback summaries.
Reports and insights are intended to support community coordination, pilot learning, operational improvement and better understanding of community movement patterns.
Where possible, reporting will use aggregated or anonymised data. Identifiable personal data will only be shared where necessary, lawful, proportionate and consistent with the J-Pool Privacy Policy, applicable data protection laws, community agreements, safety requirements or legal obligations.
Carbon, sustainability and mobility insights are provided for estimation, reporting, analytics and community insight purposes. They should not be treated as certified carbon credits, regulated carbon offsets, audited emissions statements, environmental compliance advice or formal regulatory reporting unless J-Pool expressly confirms this in writing.
Data Protection and Confidentiality
Each party agrees to handle personal data responsibly and in accordance with applicable data protection laws.
J-Pool will process personal data in line with its Privacy Policy and any applicable data processing agreement or written arrangement. Where the Community Partner provides participant information, community access information or verification information to J-Pool, the Community Partner must ensure it has the right to share that information.
Where J-Pool and the Community Partner need to share personal data for onboarding, verification, safety, reporting, community access or pilot management, the parties may agree appropriate data sharing or processing arrangements. Any such arrangement must be consistent with J-Pool’s Privacy Policy, applicable data protection laws and the purposes of the partnership.
During a pilot or partnership, either party may receive non-public information about the other party’s operations, community structure, product features, reporting, dashboards, onboarding setup, pilot feedback or internal processes. Each party agrees to treat confidential information responsibly and not disclose it without permission, except where required by law or agreed in writing.
Branding and Communications
The Community Partner must not use J-Pool’s name, logo, screenshots, dashboard materials, product visuals or brand assets in public communications without J-Pool’s approval, unless J-Pool has provided materials specifically for that purpose.
J-Pool may provide approved onboarding copy, community launch materials, participant guidance, support links or digital assets to help introduce the Platform.
Any press release, public announcement, case study, testimonial, logo use, partnership announcement or public reference to the partnership must be agreed by both parties in advance.
Feedback and Product Development
The Community Partner may provide feedback, ideas, issue reports, participant observations, operational suggestions or pilot learnings to help J-Pool improve the Platform.
J-Pool may use feedback to improve features, onboarding, safety tools, dashboards, reporting, user experience, community setup, support processes and future product development.
Providing feedback does not give the Community Partner ownership of J-Pool’s technology, product features, workflows, designs, analytics, dashboards, documentation or intellectual property.
Suspension or Termination
Either party may pause or end the partnership by giving reasonable notice, unless a separate written agreement states otherwise.
J-Pool may suspend or end a partnership immediately where there is serious misuse, safety risk, unlawful activity, reputational risk, breach of these Terms, breach of participant terms, misuse of data, non-cooperation with safety requirements, or any issue that may harm participants, communities, J-Pool or the Platform.
Ending a partnership does not automatically remove obligations that should reasonably continue, including confidentiality, data protection, safety investigations, dispute handling, legal compliance and any responsibilities already incurred.
Changes, Governing Law and Contact
J-Pool may update these Community Partnership Terms from time to time to reflect changes in the Platform, pilot structure, onboarding process, safety practices, community features, reporting tools, legal requirements, regional expansion or business operations.
Where changes are material, J-Pool may notify Community Partners through the website, email, onboarding channel, dashboard, in-app notice or another appropriate channel.
For Community Partners using J-Pool in the United Kingdom, these Terms are governed by the laws of Scotland, unless a separate written agreement states otherwise or mandatory law requires otherwise.
